Each and every business is unique. Some have individual seasonal demands in staffing, experience surges in resources, or face other atypical challenges.

To say all businesses have the same needs would be a gross misrepresentation of reality. That’s why creating one-size-fits-all plans and protocols is hardly an effective way to manage resources in between industries - they are so different.

1. What information do you want to include on the card?

First, you need to decide what sort of information will be on these ID badges, and whether or not you will use the same design for everyone in the organization.

If you will be using the same design, you still need to determine what information you will be including.

Safe bets include the full name of the person the badge will be assigned to along with his or her role or title. You might also choose to include company slogans or phrases to improve branding.

Unique employee identifiers are also a good thing to include on ID badges, along with dates issued and other data associated with the cardholder or department.

2. What colors, elements, and logos do you want to include in the design of the ID badge?

Now is the time to keep in mind that business ID badges don’t need to be purely functional from a stance of identification. These badges can also be a great way to celebrate your brand and create a memorable, lasting impression.

Do you have a logo you want to include in the background of your custom-printed badges? Do you want it placed in a corner or faded into the background?

Also, if you don’t want to incorporate your logo or typeface into the badge, you can always just incorporate your company’s colors for some brand alignment.

3. How large will the photo be, and how will it be oriented?

You should also consider how you want the badge to be oriented at this stage. Both horizontal and vertical orientations are popular among membership and ID badges, with vertical alignments being more popular for lanyard-displayed badges and horizontal orientations taking precedence for pin-on and magnetic badges.

If you’re creating photo badges, you can make the image as big or as small as you like, just remember that on tiny ID badges, larger photos will be crisper and clearer and present fine details more faithfully.

4. Will you include any unique identifiers, for the purpose of boosting facility security?

RFID and holographic custom ID cards aren’t the only ways to increase security around your facility. You can also print barcodes or QR codes for the purposes of improving security.

You don’t need to include them, but if you print them on the reverse side of your card, they won’t interfere with the main design, and they will give your ID cards an extra dimension of purpose.

5. Do you want single or dual-sided cards?

You’ll also need to determine if you want single or double-sided cards. As mentioned above, you can, of course, leave one side of your cards blank, but you can also use that space to print codes to grant or restrict access.

The reverse side of your ID badges is also a great place to print protocols that employees can reference for official use. For instance, some institutions and large organizations print instructions associated with department-specific protocols - such as what to do for certain drills or in the event of an accident or security breach.

Don’t forget to make use of all that extra space on the back of your ID badges, one way or the other.

6. How will your employees wear or display these new business ID badges?

Finally, take some time to consider how you expect your employees to display these custom ID badges, if at all. You can, of course, have them carry them in their wallets, but there are other options.
